Staff Survey SA (part of Pure Survey) is committed to protecting the privacy and confidentiality of all personal information we process. This policy explains how we collect, use, and protect data in accordance with the Protection of Personal Information Act (POPIA).

Client Information
When you engage our services, we collect:
- Contact details (name, email, phone number)
- Company information (name, industry, size)
- Billing information for invoicing purposes

Survey Respondent Information
When employees participate in surveys, we may collect:
- Demographic data (as defined by the client, e.g., department, tenure, location)
- Survey responses (quantitative ratings and open-ended comments)
- Participation metadata (completion status, timestamp)
Important: We do NOT collect IP addresses, device identifiers, or other information that could identify individual respondents.
Survey Anonymity
Protecting respondent anonymity is fundamental to our service:
- No individual identification: We never share individual survey responses with clients
- Minimum thresholds: Group-level results are only reported when sufficient responses exist (typically 5+)
- Data aggregation: All reporting is based on aggregated data that cannot identify individuals
- Third-party processing: We act as an independent third party between employees and employers
How We Use Information
We use collected information only for:
- Providing the survey services you have requested
- Generating reports and insights for your organisation
- Improving our services and methodologies
- Maintaining benchmark databases (using anonymised, aggregated data only)
- Communicating with you about your project
Data Security
We implement appropriate technical and organisational measures to protect personal information:

- Secure, access-controlled data storage

- Staff training on data protection practices
- Incident response procedures
Data Retention
We retain personal information only as long as necessary:
- Survey data: Retained for the duration of the client relationship plus 2 years for benchmarking purposes
- Client records: Retained as required by law for accounting and legal purposes
- Marketing contacts: Until you unsubscribe or request removal
Your Rights Under POPIA
You have the right to:

- Request correction of inaccurate information
- Request deletion of your information (subject to legal requirements)
- Object to processing in certain circumstances
